How We Track Tuition Progress so Parents Always Know What’s Happening

At Rievamp, we always like to focus on transparency in lessons. With this we can manage expectations (even part of our training ensures tutors never make promises of grades achieved). 

What we had found was many parents come to us feeling disappointed with previous experiences from other tutors:

  • Parents want to know what’s happening in lessons
  • Students want structure and consistency
  • Tutors need a way to stay organised without spending hours on admin

As we’ve grown, it became clear that relying on informal systems (WhatsApp messages, separate calendars, emails, and free-to-use scheduling platforms) wasn’t sustainable if we wanted to offer a genuinely high-quality service. That’s where TutorBird comes in.

With many tutors, organisation tends to come after everything else. While learning can still be effective, parents are often left without a clear picture of what’s happening week to week unless they actively ask.

So we looked for a solution and came across a system where progress, communication, and accountability were paramount, not optional.

One Place For Scheduling, Lessons, and Communication

TutorBird acts as the central hub for our tutoring offer.

From our side, it allows us to:

  • Provide one-click Zoom links for online sessions (without having to send out a link every week)
  • Track each student’s timetable and attendance in one place
  • See our entire provision at a glance

From the parent and student side:

  • Each member gets their own login
  • Students and parents can view their personal lesson calendar
  • Everything is in one place so there’s no chasing

This immediately removes confusion and creates consistency, especially for families juggling school, clubs, and multiple commitments.

Meaningful Lesson Notes

One of the biggest benefits of TutorBird is how it supports proper lesson reflection. Many parents do not have time to sit-in on every lesson, so providing clear notes bridges that gap.

After each session, our tutors upload lesson notes that explain:

  • What was covered
  • How the student engaged
  • What went well
  • Where support is still needed
  • Any action points moving forward

These notes can be sent directly to parents and students by email, so feedback doesn’t get lost or watered down. Parents aren’t just told that a lesson “went well”, they can visibly see why.

Homework, Assessments, and Follow-up

TutorBird also allows tutors to assign homework directly through the platform. Students can log in, complete tasks, and submit their work in one place. This keeps learning continuous between sessions and avoids the usual back-and-forth of files and messages.

Assessment scores, spelling tests, and small checkpoints can also be recorded, helping us spot patterns and improvement over time rather than relying on memory alone.

Bringing The Triangle Together

At its core, TutorBird supports what I call “triangle transparency” and the components of this are the tutor, the student and the parent.

Everyone can see what’s happening, when it’s happening, and how the student is progressing. Constantly building trust naturally because nothing is hidden or unclear.

Importantly, because we cover the cost of the platform ourselves, TutorBird is completely free for parents and tutors to use. It’s simply part of how we deliver our service.

Why This Matters To Us

Learning is a better experience when it’s about consistency, reassurance, and confidence. In schools, students have recently been dealing with a lot of uncertainty so we put emphasis on alleviating this and TutorBird allows us to focus more energy on teaching and supporting students, and less time juggling systems that don’t talk to each other.
